Officers' Duties

Commitments for All Officers

Upon election, new officers will be responsible for:

  • Their assigned duties
  • Working with and helping fellow officers
  • Attending all regular weekly meetings (Wednesdays at 1:30 pm)
  • Attending all officer weekly meetings (Mondays at 1:30 pm)
  • Representing and promoting the club:
    • Make in-class presentations during the beginning of each quarter
    • Sit at the promotional table during the week before the first meeting
  • Assist Treasurer, Controller, and other officers with paperwork and in other aspects in the process of obtaining funding requests


President

  • Plan events for the upcoming quarter during the last week of the preceding quarter or during spring break:
    • Socials
    • Community Service
    • Professional:
      • Mock Interviews
      • Firm Tours
    • Arrange food schedule with names of officers responsible
  • Prepare agenda for chair officer meetings
  • Prepare a PowerPoint presentation for weekly meetings and make announcements about AS news, career center, and other upcoming professional, social, and community service events
  • Manage AS Facebook account
  • Coordinate activities of other officers
  • Keep good relations with the chair, faculty and secretary of the Accounting Department, ASI, and other student organizations
  • Consult with the faculty advisors about any challenges or ideas
  • Arrange photo-shoot for officers before the first quarter of service
  • Email meeting minutes to all members
  • Work with treasurer on setting up a budget for the upcoming quarter
  • Work with other officers to improve the club and add value to the members of AS
  • Organize raffling of movie tickets at the end of each quarter
    • Purchase movie tickets at ASI
    • Obtain attendance sheet from the secretary and record the names of members who attended all weekly meetings

Vice President of Administration

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Coordinate lunches with other officers before the 1st day of AS meetings
    • Organize schedule for lunches
    • Email lunch schedule to assigned officers
  • Mock interviews, Meet the Firms, and other business events
    • Coordinate with President and Professional Events coordinator
    • Make sure refreshments are served for the interviewers
  • Create and post fliers/brochures for weekly meeting
    • Make sure guest speaker's name is spelled correctly
    • Name of firm
    • Post firm's website
    • Date, time, room number
    • Take down fliers immediately after the meeting to avoid cluttered bulletin boards
  • ASI allows accounting society to make 100 copies a month for administrative purposes (refer to the Organizational Student Handbook)
  • Set up the meeting room
    • Bring all the necessary supplies to the meeting room (cups, plates, napkins, etc.)
    • Return unused supplies back to ST F524, the AS office
    • Assign another office, preferably male, to help get supplies (bottled water, soda)
    • Assign other officers and members to help clean up after the meeting

Vice President of Public Relations

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Invite guest speakers for the next quarter
    • Organize list of potential speakers
    • Send invitations and confirmations
    • Reserve parking permits for all speakers
    • Follow up with a thank-you note
  • Send the completed schedule of speakers to other officers
    • VP of Administration
    • Webmaster
    • Director of Student Outreach
  • Organize raffling of movie tickets at the end of each quarter
    • Purchase movie tickets at ASI
    • Obtain attendance sheet from the Secretary and record the names of members who attended all weekly meetings
  • Prepare:
    • Business cards for each officer (100 for the president and 50 for each officer)
    • Name tags for the officers and members
      • Make sure to bring them to each weekly meeting

Controller

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Deposit membership dues in the bank
  • Liaise with the President to develop budget for the upcoming quarter
  • Obtain financing through ASI
    • Get familiar with the procedures before the beginning of the break
      • Work with VP of Administration to obtain necessary paperwork for food funding well in advance of the weekly meetings of the upcoming quarter
  • Obtain funding for other necessities such as T-shirts and other club activities
  • Reimburse other officers for club expenditures
  • Ensure that all expenditures are appropriate and within approved amounts
  • Monitor the club's checking account

Treasurer

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Collect applications and dues from the members throughout the quarter
    • Turn in the new applications to the secretary after every weekly meeting
    • Compile Excel spreadsheets with all information in the membership application
  • Input information from the applications in the Excel file
    • Send the weekly updated spreadsheet to the Secretary


Secretary

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Minutes
    • Record minutes for officers' and members' meetings
    • Edit and proofread minutes
    • Forward minutes to President and VP of Public Relations within 1-2 days after the meeting
    • Keep hard copies in Secretary's folder
  • Attendance records
    • Have attendance sheet ready two days before members' meeting.  If unable to attend meeting, forward the attendance sheet to the president
    • Attendance sheet should include member's name, e-mail address, space for member's signature, and checklist of interest for upcoming events
    • Distribute attendance sheet at beginning of members' meetings
    • Collect attendance sheet at end of meeting and update attendance records
    • Forward updated attendance record to Director of Student Outreach
    • Keep attendance records of all events and forward them to Director of Student outreach
    • Keep hard copies in Secretary's folder

Webmaster

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Update contents of the page on a weekly basis
  • Post monthly events on calendar
  • Obtain minutes of past meetings from Secretary and post it on the website
  • Ensure that all links are working properly
  • Convert members' resumes into PDF files and post them to the online resume bank
  • Fix any glitches and errors on the page to ensure that the webpage functions properly

Historian

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Take pictures at weekly meetings and at all social, community service, and professional events that members of AS participate in
    • If unable to attend, notify another officer who will be attending the event and can take pictures for you
    • Update pictures onto the Picasa Web Album within 1-3 days after the event and notify the Webmaster once the pictures are uploaded
  • Maintain the Alumni Records on the website
    • Take pictures of all graduating members and officers during the quarter
    • collect their information (full name, officer positions ever held, during what period of time they were in AS, graduation date, and the name of employers)
    • With the alumnus' permission, send the picture and collected information to the Webmaster
    • Network with alumni who have already graduated through events such as weekly meetings, Fall/Spring Awards Banquet, Meet the Firms, firm tours, and other similar events - try to build up the Alumni Records by collecting their information
  • Print and post updated information on the bulletin board
    • Work with historian to develop new pictures at least once every 2 weeks
    • Post current newsletter every week
    • Post pictures of officers before the beginning of the quarter

Director of Student Outreach

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Create and send out weekly newsletter
    • Regularly update the contact list
    • Obtain a list of speakers from VP of Public Relations
    • Constantly check for upcoming events in AS, Career Center, Accounting Department, firms and professional associations
    • Compile the newsletter at the beginning of each week


Marketing Coordinator

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Prepare marketing material for the beginning of the quarter
    • Compile a promotional PowerPoint presentation and a script that could be used by officers in their in-class presentations
    • Prepare folders with:
      • AS brochure (with schedule of speakers)
      • Membership application (with necessary updates)
      • Schedule of events at the Career Center
      • Brochures about events such as On-Campus Interviews, Meet the Firms, Fall/Spring Awards Banquet
      • At least 2 brochures from professional organizations such as CalCPA, IMA, ALPHA, ISACA, ACFE, and others
  • Design AS brochure before the beginning of the quarter
    • Collaborate with other officers to create the text and design
    • Print out at least 200 copies before the first day of school
  • Set up promotional table (starting a week before the first meeting - Wed, Thu, Mon, Tue, Wed)
    • Schedule officers to be at the table
    • Reserve the table at ASI
    • Send reminders to the officers scheduled to be at the table the day before
  • Organize in-class marketing presentations
    • Schedule officers to present in at least 2-3 accounting classes
    • Send out emails to professors asking permission to present
  • Create and post fliers/brochures for weekly meetings
    • Make sure guest speaker's name is spelled correctly
    • Name of firm
    • Post firm's website
    • Date, time, room number
    • take down fliers immediately after the meeting to avoid cluttered bulletin boards

Social Events Coordinator

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Create a schedule of social events for the upcoming quarter
    • Brainstorm with officers about possible social activities that would be of interest to the members
    • Find more information about each proposed event and make final choices
  • Assign various responsibilities to the members of your committee (this should not be done by the coordinator)
    • Create flyer for the event that will include: date, time, map, cost (if applicable)
    • Make a presentation during 2 weekly meetings preceding the event
    • Prepare necessary items and bring them to the event (coordinator should find out whether drinks and food should be brought to the event and purchase them if necessary)
*Things to keep in mind: the purpose of these events is to create an opportunity for members to get to know each other and have fun.  Hence, pay careful attention to the nature of the chosen activities and whether they involve teamwork.

Community Service Events Coordinator

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Create a schedule of social events for the upcoming quarter
    • Research about various ongoing projects and activities such as Food Bank, tree planting, Ronald McDonald house, crafts at senior homes, AIDS walks, and other (if possible, get members of your committee involved in that part)
      • Compile a list of selected projects and discuss the final choices with other officers during the officer meeting on Monday
      • Contact the managers of places that host the activities and confirm time, day, and location
  • Assign various responsibilities to the members of your committee (this should not be done by the coordinator)
    • Create flyer for the event that will include: date, time, map, cost (if applicable)
    • Make a presentation during 2 weekly meetings preceding the event
    • Prepare necessary items and bring them to the event (coordinator should find out whether dirnks and food should be brought to the event and purchase them if necessary)
*Things to keep in mind: the purpose of these events is to create an opportunity for members to get to know each other and have fun.  Hence, pay careful attention to the nature of the chosen activities and whether they involve teamwork.

Professional Events coordinator

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Collaborate with the president in organization of:
    • Resume Review Workshop
    • Mock Interviews
    • Firm Tours
  • Administer Mock Interviews
    • Arrange the time schedule for the members
    • Contact the members with confirmation of their time and the firm they are interviewing with
    • Along with confirmation, send out information that will help members prepare for the interview
  • Establish connection with Career Center counselors and provide members with up-to-date employment information including:
    • New job openings
    • Interview tips
    • Events at the Career Center
  • Coordinate activities of committee members
    • For example, create guides that can help prepare members for their future career

Fundraising Events Coordinator

  • Assist the President and other officers in any possible way
    • Make suggestions and share ideas on Monday officers' meetings
  • Create a schedule of fundraising events for the upcoming quarter
    • Brainstorm with other officers about possible events that could be profitable, get members involved, and promote AS
    • Create a tentative schedule of the events before the beginning of the quarter
  • In case of a food sale:
    • Research places from which to purchase food and drinks
    • Obtain and fill out all necessary paperwork from ASI:
      • Temporary Food Facility Permit
      • Event Registration Form with signatures of the President and Treasurer
    • With help of committee members, make necessary purchases and reservations at ASI
      • Set up a schedule with participating members and officers
      • Keep accurate participation records
      • Immediately after the fundraising event, turn in the proceeds to the Treasurer
  • Obtain T-shirts and sweatshirts with our logo before the beginning of the quarter
    • Hold a contest for a design
    • Obtain funding for the wear at the ASI
    • Research various vendors and purchase the wear at the most competitive price
    • Advertise and distribute the wear amongst the members and officers of AS
